How to preserve evidence of a site instruction

No app can guarantee what a direction will prove in a dispute. A stronger contemporaneous record helps a reviewer understand the wording, people, timing, context and outcome.

Start with contemporaneous information

A record made at or near the time is generally easier to understand than one reconstructed weeks later. Keep the original wording wherever the project system allows it.

Show the action that followed

Record who was expected to act, the due date and the status. Do not confuse a task marked done with contractual approval or acceptance of quality.

Retain supporting material

Where the approved project system supports it, retain relevant photos, drawings, emails and acknowledgements. The inspected Convoe app does not yet expose file/photo evidence or visible source linkage.

Follow the contract

The record supports project administration; it does not replace notice requirements, authorised instructions or professional advice.
